New Member Invitation emails are sent out on the first of every monthly period to each New participant added to your Member Roster. New Member invitations are sent to the email address that was provided to VCx as part of the Member Roster submission.
Keep in Mind: Often, the email address provided to VCx in a Member Roster submission is different than the email address the Member typically uses. As a result, the New Member may conclude they never received a New Member Invitation!
Tip: Making an extra effort to ensure your Member Roster contains the preferred email of each New Member (especially when submitting your FIRST Roster) will save work downstream. If you determine the email record you submitted on a Member Roster is not correct, you may update the Member’s email address directly on the Roster accessible from the Roster Management tab of your Administrator Account.
Keep in Mind: Many Providers will send out a “welcome packet” to each new Member to the email address listed on the Member Roster.
The New Member Invitation email contains a temporary password. This password will not expire, but after the Member uses it the first time to set-up their VCx account, they will be prompted (and required) to create a permanent password for their on-going use of their VCx Member Account.
Tip: Participants may sometimes lose track of their original New Member Invitation. If the Member cannot find their original invitation, you may re-send them a New Member Invitation email from the Roster Management page of your VCx Administrator Account.
Keep in Mind: sending out a New Member Invitation to a Member who has misplaced their original invitation will invalidate the original temporary password sent to the Member.
Tip: Once a participant has established their permanent password, they may change their password at any time themselves from their account’s Manage Profile tab and clicking on the Reset Password button. A re-set password email will then be sent to the email the Member has on file.
Tip: If a Member forgets their permanent password and they cannot access their VCx Account, they may generate a new password email themselves by clicking on the “Forgot Password” button on the VCx Member sign-in dialogue box (accessible from the main virtual care exchange website (“Client and Member Sign in” button”)
Keep in Mind: Spam filters can easily be the culprit if a Member cannot find their original or replacement VCx Member Invitation. Members should add www.virtualcareexchange.com to their permitted or allowed websites if this is a persistent issue.
Tip: A reminder email to all New Members encouraging participants to create their VCx Member account can be quite useful if sent 2-3 weeks after program commencement and then periodically throughout the year.
Keep in Mind : New participants will tend to put off setting up their VCx Account until they actually need services! Less than 10% of new Members will set up their VCx Member accounts in their first month of eligibility according to our data.
