Adding Affiliates.
An Agent may add Affiliates at any time during a monthly service period.
Each Affiliate will need to execute a standard “VCx Employer Agreement”. The “VCx Employer Agreement” form may be obtained from the Agent’s VCx Account Representative.
Generally, the process of adding a new Affiliate involves filling out a “New Affiliate Boarding Form” which enables VCx to “board” the new Affiliate onto the VCx service platform. The “New Affiliate Boarding Form” is available in either paper or electronic form from the Agent’s Account Representative.
TIP: In order to ensure that an Affiliate’s new Members are eligible to receive their VCx services by the 1st of the next service period, Agent’s should submit Affiliate Boarding Forms no later than the 15th of each month.
Upon boarding, each new Affiliate will be given access to their own “VCx Affiliate Account” (or “Employer” Account), from which the Affiliate may manage specifics of their VCx Services.
In order to fully activate a new Affiliate, VCx will require the submission of:
- The “New Affiliate Boarding Form”
- The “VCx Employer Agreement” for Affiliates
- The Affiliates first month’s “Member Roster”
- The first and last period’s fees applicable to each new Affiliate.
Keep in Mind: For Agent Agreements where the Agent’s Affiliate is the responsible party for paying VCx service fees, the Affiliate is typically allowed to manage their own monthly Member Roster at their discretion. For Agent relationships where the Agent is the responsible party for paying VCx fees, all changes to an Affiliate’s Member Roster will require the approval of the Agent, unless other permissions have been arranged.

Suspending/Terminating Affiliates:
An Agent my suspend or terminate an Affiliate at their discretion (subject to any termination obligations that may exist in any agreement the Agent may have with the Affiliate related to VCx Services), but we strongly advise that prior to doing so the Agent contact their VCx Account Representative for consultation and operational coordination.
Keep in Mind: When an Agent suspends or terminates an Affiliate, we are primarily focused on making sure that VCx services continue for the Affiliate to the extent that the Affiliate desires to do so. If VCx is holding fees for Services from an Affiliate that have not yet been delivered, we typically want to consult with the Affiliate directly to determine the best resolution of these fees.
